Self-Access showings let leads tour properties on their own using a one-time lockbox code. You don’t need to be there — RentSmart handles everything via SMS.

Prerequisites

A property must be activated as Self-Access with a lockbox assigned. If you switch a property’s showing type later, you have to deactivate and reactivate it.

What the lead experiences

After they complete the schedule flow, the lead’s status is Scheduled and a series of automated SMS messages handle the rest:

Booking confirmation

Immediately: Showing Confirmed SMS with date/time and a note that the access code will arrive at showing time.

Showing Starting Soon

At the showing’s scheduled time: the lead receives a Showing Starting Soon text asking them to reply with the last 4 digits of the lockbox serial number to unlock access.This step is intentional friction — it confirms the lead is physically at the property before the code is released.

Access code delivered

Once they reply with the correct serial, RentSmart texts back a one-time access code for the lockbox.

Post-showing instructions

After the showing window closes: a text reminds the lead to turn off lights, lock the doors, and return the key to the lockbox.

Status transitions

A Self-Access lead moves through these statuses:
  • Waiting on Lead → after prequalification + ID verification, before they pick a time
  • Scheduled → a confirmed time is on the calendar
  • Completed → showing window has passed
  • No-Show → window passed but the lead never accessed the lockbox
A No-Show kicks off a recovery SMS with a link to reschedule.

What you do (almost nothing)

For Self-Access, your involvement is optional:
  • View the lead in All Leads if you want to track them
  • Read their feedback when it comes in
  • Mark a decision if they submit a Profile and form a household
If something physically goes wrong (e.g., the lockbox is missing or won’t open), the lead is given your organization’s phone number to call — that number is set in Organization settings.
