Every prospect across every property lives on the All Leads page at app.rentsmart.com/all-leads. It’s your single source of truth for everyone who’s expressed interest.

All Leads page

The page is a single table. The filter bar across the top lets you narrow by:
  • Property — limit to one property
  • Status — pick any combination (Waiting on Lead, Scheduled, Requested, Declined, Completed, No-Show, Cancelled by Prospect, Cancelled by User, Disqualified)
  • Time — by lead creation date (7/30/60/90 days or custom)
  • Feedback — All / Has Feedback / No Feedback
You can save any filter combination as a Saved View — give it a name, optionally set it as default, and it appears in the Saved Views dropdown for one-click reuse. The gear icon opens column visibility toggles. Lead Name, Created Date, and Actions are always visible; everything else can be hidden.
Archived leads always fall to the bottom of the table, no matter what you’re sorting by. They never interleave with active leads.

Lead Details panel

Click any row to expand a detail panel inline. It has five tabs:
  • Overview — showing details, contact info, lead source, and the View ID button (with a fair-housing confirmation prompt)
  • Notes — internal notes anyone on your team can add
  • Prequalification — the lead’s answers to your prequalification questions
  • Texts — every SMS RentSmart has sent the lead
  • History — full audit log of state transitions
The Overview tab also has conditional action buttons:
  • Send Invite to View — only if the lead hasn’t scheduled yet (one-shot)
  • Send Application Invite — only if the lead completed a showing and hasn’t submitted a Profile yet (one-shot)

Lead statuses

Every lead has exactly one status at a time. See Lead statuses for the complete reference. The most important ones:
  • Waiting on Lead — verified, hasn’t picked a time yet
  • Scheduled — confirmed showing on the calendar
  • Requested — In-Person request pending your approval
  • Completed — showing window has passed
  • No-Show — Scheduled but didn’t access the lockbox or didn’t appear

Automated SMS

RentSmart sends SMS automatically based on state transitions and time events. You don’t manually send messages — but you can see every message a lead has received on the Texts tab of their detail panel. Common ones:
  • Showing Confirmed / Request Submitted (after booking)
  • 2-Hour Follow-up / 48-Hour Follow-up (nudges if they haven’t scheduled)
  • Showing Starting Soon / Access Code Delivered (Self-Access day-of)
  • 1-Hour In-Person Reminder (In-Person day-of)
  • Feedback Request + Feedback Reminder
  • No-Show recovery message
  • 24-Hour Post-Showing Follow-up (encourages submitting a Profile)
Leads can opt out by replying STOP.

Showings Calendar

A calendar view of every previous and upcoming showing at app.rentsmart.com/showings. Two views:
  • Month — grid view, up to 3 showings per cell, click to drill in
  • Week — Sun–Sat columns showing time / Self-Access vs. In-Person / lead / property / status
Color-coded by status:
  • Green = Scheduled
  • Yellow = Requested
  • Blue = Completed
  • Red = No-Show
Filters: Property, Type (Self-Access / In-Person / Both), Status, Month vs. Week. Clicking any showing jumps to the property page with the lead’s detail panel already expanded.
