Before any household reaches you for a decision, RentSmart’s AI validates every Profile against the documents the prospective tenant uploaded. This catches forgery, mismatches, and incomplete information before TransUnion reports are pulled.

What gets validated

Each prospective tenant uploads supporting documents along with their reported information — paystubs, tax returns, bank statements, lease ledgers, ID photos, and more (depending on employment type and housing situation). The AI:
  • Confirms each document is authentic (not fraudulent or doctored)
  • Cross-validates the information they typed against what the documents actually say
Examples of what cross-validation catches:
  • Reported income doesn’t match paystubs
  • Reported employer doesn’t match the company on the paystub
  • ID doesn’t match the photo / liveness scan
  • Lease ledger contradicts the reported rental history

The three validation outcomes

Every section of every Profile gets one of three colored checkmarks:
  • 🟢 Green — Validated — every piece of information cross-validated against the documents
  • 🔵 Blue — Passed — nothing was contradicted, but some fields don’t appear in the supporting documentation (so they couldn’t be actively validated)
  • 🔴 Red — Failed — something contradicts the documents. This section is sent back to the prospective tenant.

When a section fails

If any section of any Profile gets a red check:
  • That Profile’s status becomes Awaiting Applicant
  • The household status becomes Awaiting Applicant
  • The prospective tenant gets an automated notification with what they need to fix
  • Their correction comes in as a new submission version (you can see prior versions via the Version dropdown on the Profile page)
You don’t have to do anything during Awaiting Applicant — the system is blocked on them, not you.

When everything passes

Once every section of a Profile is green or blue:
  • The Profile status moves to Waiting on Reports
  • RentSmart orders TransUnion reports for that prospective tenant
The household moves forward once every Profile in the household has reached this state.

The 30-day timeout

A household stuck in Awaiting Applicant for 30+ days without progress is auto-archived to Inactive status. It’s removed from your active view but can be reopened.
