When someone emails your Lead Email (or a property’s specific Lead Email):- RentSmart parses the message for the lead’s name, contact info, source, and property
- RentSmart attempts to match the email to one of your properties
- If a match is found — a lead record is created on that property and the lead gets an auto-reply with scheduling information
- If no match is found — a lead record is still created, but the lead gets a generic auto-reply pointing them at your Public Listing Page so they can pick the property themselves
When to use it
The Lead Email is intended for any external listing site that RentSmart doesn’t syndicate to automatically — Facebook Marketplace, Craigslist, your own website, smaller regional sites, etc. For the partners RentSmart does syndicate to (Apartments.com, Zillow Group, Rent., Apartment List, Zumper, Dwellsy, RentalBeast), leads flow in automatically through the syndication feed. You don’t need to set the Lead Email on those sites.Per-property vs. organization-level
Per-property emails guarantee a match, so leads always get the property-specific auto-reply. Organization-level emails fall back to the generic reply when no property can be matched.

- Use per-property emails when listing on single-property sites — guaranteed match
- Use the organization email for general inquiries — covers your whole portfolio
- Double-check the auto-reply is going where you expect by sending yourself a test inquiry
