In-Person showings require you (or a teammate) to approve each request and conduct the showing yourself. Use this mode when you don’t have a lockbox, or when you want a personal touch.

Prerequisites

A property must be activated as In-Person. No lockbox is required.

What happens when a lead requests a showing

After they complete the schedule flow, the lead’s status is Requested (not Scheduled). The request is pending your approval. You receive an email with the lead’s name, property, requested date/time, and two buttons:
  • Approve
  • Decline
You can act directly from the email — no login required. Behind the scenes, both buttons hit RentSmart’s API with a signed token.

When you click Approve

  • The lead’s status moves to Scheduled
  • An Approval SMS goes to the lead confirming the time
  • A 1-hour reminder SMS is queued for one hour before the showing
  • The showing appears on your Showings Calendar

When you click Decline

You’ll be asked one more thing:
  • Decline and allow rescheduling — the lead can pick a new time. They receive a Request Declined (Reschedule Allowed) SMS with a link.
  • Decline permanently — the lead is terminally blocked from this property. They receive a Request Declined (No Reschedule) SMS.

If you don’t respond

The request expires after a configured window. The lead’s status moves to Declined automatically, and they receive a Request Expired SMS with a link to pick a new time.

The 1-hour reminder

One hour before the showing, the lead receives a reminder SMS with the time and a note to text HELP if they need assistance. This nudges no-shows back into showing up.

Conducting the showing

You arrive at the property, meet the lead, give them the tour. There’s no in-portal action required during the showing itself — RentSmart’s role pauses while you’re on site.

After the showing

  • Lead status moves to Completed when the showing window ends
  • A Feedback Request SMS goes out automatically (1–5 stars + optional comments)
  • If they don’t submit a Profile within 24 hours, they get an encouraging follow-up SMS
You can send them an application link (the button name) directly from the lead’s row in All Leads — one-shot, can’t be repeated.
