A — D
- Adverse Action Letter — Legally-required notification sent automatically to every household member of a denied household. Goes out automatically on any denial — AI auto-denial or your manual denial.
- AI Screening (RentSmart AI Screening Tool) — The automated process that compares a validated household against your Auto Denial Rules and either auto-denies or delivers them to you.
- AI Validation — The pre-screening step where RentSmart’s AI verifies document authenticity and cross-checks reported information against the uploads. See AI document validation.
- Awaiting Applicant — A status pill label (literal UI text) shown on a Profile or household that needs the prospective tenant to fix or respond to something.
- BrightInvestor — Integration partner that generates the Rent Price Analysis report on a property.
- Codebox — The digital lockbox hardware RentSmart partners with. “Codebox” and “lockbox” are used interchangeably.
- Cover Photo — The first photo in a property’s photo list. Used on listing cards, Property Listing Page headers, and the Individual Property page.
- Custom Listing Page URL (slug) — The slug part of your Public Listing Page URL:
app.rentsmart.com/your-slug.
E — L
- Editor — A sub-user role with full read/write access. Can invite teammates, change roles of other Editors/Viewers, and modify billing.
- Fee Template — A reusable preset fee saved in Fee Settings that appears as an option during Create Listing. Doesn’t retroactively change existing listings.
- Generated Listing Slug — Auto-generated slug from a property’s address; combined with your Custom Listing slug to form the property’s public URL.
- Household — One or more prospective tenants submitting together to a specific property. Has its own status separate from individual Profile statuses.
- Lead — A tenant-side visitor interested in a property who hasn’t yet submitted a Profile. Tracked on the All Leads page. (“Prospect” is a synonym used in some UI labels like “Cancelled by Prospect.”)
- Lead Email — A unique forwarding email RentSmart provides per organization and per property. Use it as the inquiry contact on external sites — see Your Lead Email.
- LeadSimple — CRM integration that mirrors leads and households into LeadSimple pipelines. See LeadSimple integration.
- Lydia — The persona name of the RentSmart AI Chatbot. Presented in-product with a headshot and the title “Support Specialist.”
M — R
- ManageCasa — The PMS integration. When active, properties are managed in ManageCasa and synced into RentSmart, and approved households auto-create leases in ManageCasa. See ManageCasa integration.
- One-Time Code — A single-use access code for a Codebox, valid on one specified date. Can be texted to a phone number on generation.
- Primary (user role) — The user who originally signed up the organization. Exactly one Primary per organization. Transferred via Swap Primary, never invited.
- Primary Household Member — The lead member within a Household — the one who receives and responds to user-initiated requests (co-signer, deposit increase). Tenant-side role; not to be confused with the staff-side Primary. The actual portal UI shows the PRIMARY pill on this person’s card.
- Profile (Reusable RentSmart Profile) — A single prospective tenant’s complete data — personal info, employment, housing, background, documents. One-time $60 fee per Profile, reused across every property that person submits to. Prospective tenants do not pay an application fee — they pay once to create their Reusable Profile.
- Prospective Tenant — A person who’s started a Reusable RentSmart Profile as part of a household submitting to a property.
- Public Listing Page — Your whitelabeled landing page at
app.rentsmart.com/your-slugshowing all your active properties. See Public Listing Page. - Public Individual Property Listing Page — The whitelabeled detail page per property at
app.rentsmart.com/your-slug/property-slug. - RentSmart AI Chatbot — The always-present AI assistant (Lydia) in the bottom-right corner of every authenticated page.
S — Z
- Showing Coordinator — The widget on the Individual Property page covering every lead and scheduling aspect of a property: Overview, Feedback, Leads, Availability, Prequalification, Syndication.
- Sub-user — Collective term for Editors and Viewers — any teammate other than the Primary.
- Swap Primary — Primary-only action that transfers Primary status to another user. The outgoing Primary becomes an Editor.
- TransUnion — The third-party screening provider. Pulls Credit, Criminal, and Housing History reports for every prospective tenant. See TransUnion screening.
- Utilities Included in Lease — Property field listing which utilities are bundled into rent. Includes both standard options (Water, Gas, Electric, Trash, Sewer, Yard Maintenance, Internet, Cable) and any custom utilities you add.
- Validated (Profile status) — A Profile where every section has a Green checkmark — everything cross-validated against documents.
- Viewer — A read-only sub-user role. Can see all shared data but can’t change anything.
