# After approval

> What happens once you approve a household — handoff to lease and next steps.

Approving a household exits the RentSmart screening pipeline. From here, you either hand off to your PMS automatically or you take over lease coordination directly.

## What every approved household triggers

The moment you click **Approve & Notify**:

* The household status flips to **Approved**
* **Every household member** receives an automated approval email letting them know they've been approved and to expect to hear from you
* The household stays on your **Applicants** page under the Approved filter
* The page header gains a **Download Application PDF** button (the full household + every Profile, archived for your records)

## If you have ManageCasa connected

If [ManageCasa](/integrations/managecasa) is active on your organization, RentSmart automatically:

* Creates a lease in ManageCasa for the approved household + property
* Maps the primary household member as the lease holder
* Passes all available household data forward

You handle lease paperwork, deposits, and move-in coordination in ManageCasa from that point. RentSmart's role is done.

## Without ManageCasa (manual handoff)

If you don't have a PMS integration connected, the handoff is manual:

1. You receive a notification that the household was approved
2. The household receives the approval email telling them to expect contact from you
3. You contact them directly (email, phone, whatever your normal process is) to coordinate lease paperwork
4. Lease signing, deposits, and move-in happen outside RentSmart

The **Download Application PDF** button gives you the full household package in one file — useful for sending to your owner or for your own records.

## Don't forget to deactivate the property

If you didn't check the **Deactivate property now** box on the approval modal, the property is still active and accepting prospective tenants.

To stop new traffic:

* Open the property → **Deactivate Property** in the header
* This removes the listing from syndication, cancels pending showings, and notifies any other pending households that the home is no longer available

## Best practices

* **Approve and deactivate together** — use the checkbox in the Approve modal to do both at once
* **Send a quick personal note** to the approved household within a day — the auto-email tells them to expect contact, so following up promptly sets a good tone
* **Download the PDF** — keep an archived copy of the full household record
